Big TAPs is the S4labour Time and Attendance (T&A) functionality. Please see below the details on how to use the functionality correctly.
How do I activate my tablet? How do I set my tablet up for tapping in and out?
After installing the Big TAPs app on your tablet and opening the app, you will be presented with the below screen:
These are the 5 steps to successfully activating your tablet:
- Go to current week’s rota page on s4labour.com for the site you will assign the tablet to.
- Open the "Signoff" Shifts workbook.
- Click “Configure” and then “Add Tablets +” to generate a Tablet Authentication Code.
- Return to the Big TAPs App on your tablet, and tap "Start" to be prompted to enter the tablet authentication code.*The authentication code will expire after 5 minutes, after this point a new code will need to be generated.
- Once entered, and verified, the tablet is active. Employees can start clocking in and out.
After accessing the Shift Sign Off workbook, click the “Configure” button to access the tablet configuration window:
You can then click “Add Tablets +” to name the new device and generate an activation code:
This code is then entered into the tablet, by tapping “Start” on the welcome screen of the Big TAPs app:
Once entered successfully, the tablet is activated, and employees can proceed to enter their 4-digit pins to clock in and out.
If the code has not been successfully verified, the following screen will appear:
"Registration Code: the tablet registration code has, is invalid. Please generate a new one"
You will need to repeat the first stages shown above to generate a new code and re-attempt activation.
You will be able to confirm successful activation within the Shifts Sign Off section right away.
Click “Done” on the window containing the activation code, and you should then see the status of the tablet switch from “Offline” to “Active”:
While the tablet is active, no further action is needed from managers to allow staff to use this device to clock in and out. There is no requirement for managers to log out and back into the tablet to maintain an active status.
You will need to repeat the first stages shown above to generate a new code and re-attempt activation.
Please see a list of supported devices here that can be used with Big TAPs functionality.
How do I manage active tablets? How do I de-activate a tablet?
Active tablets can be managed at any point by clicking “Configure” within the Shift Sign Off workbook to access the tablet configuration window:
Managers can rename tablets, review who setup a tablet, de-activate a tablet, or entirely delete a tablet. De-activation, or deletion, will prevent these devices from being used for clocking in and out.
When a tablet is de-activated, managers will need to generate a new activation code to restore the device to an “Active” status. A new code can be generated by clicking the re-activate icon in the tablet configuration window:
*If a tablet is signed out in error, it will need to be de-activated and re-activated to generate a new code*
How does an employee clock in and out using Big TAPs?
After successful activation, employees will be presented the pin-entry screen shown below when accessing Big TAPs:
Employees enter their 4-digit pin, assigned by S4labour and found within their employee profile details.
The app will display any scheduled shift data and present a Tap In or Out button.
When tapping in or out employees should tap the camera button that appears to capture an image and then tap “Confirm Tap In / Out”.
This data will then be available for a manager to review within the Shift Sign Off workbook for 10 days after which the data will be deleted.
How do I review and approve time and attendance captured through Big TAPs?
Managers access the Shift Sign Off workbook from the main rota.
Managers click "Load" to pull any T&A data captured. This will also pull through any images captured. N.B. If you do not press "Load" the Time and Attendance (T&A) will not come through and can seem like there is no data.
Managers can click the camera icon to review the image and can manually adjust the time shown in the ‘Confirm Time’ column.
After ticking the box at the start of the row, and clicking confirm to the top of the screen, the rota will update to reflect the Confirm Time. A record of scheduled, T&A, and Confirmed Times, is held under the History tab.
