Shift 4 Grabs is an interactive scheduling feature within the S4 Connect App that allows employees to take a more active role in managing their shifts—while giving managers full visibility and control over the rota.
Whether you're grabbing a vacant shift or offering one to a colleague, all changes require manager approval before they’re confirmed. This ensures smooth operations, reduces rota conflicts, and supports team flexibility.

👥 Who Can Use Shift 4 Grabs?
- Employees
Can view and interact with shifts relevant to their home site and main role. - Managers
Can post vacant shifts and approve or reject shift grabs or offers.
🔄 Offering a Shift (Employees)
Employees can offer their assigned shifts to others with the same role at the same site. The shift remains their responsibility until a manager approves the transfer.
✅ How to Offer a Shift:
- Open the S4 Connect App and tap on a shift assigned to you.
- Select Offer to make it available to others with the same role.
- The shift will appear with an orange border to indicate it’s offered.
- You’ll receive a notification once a manager approves or declines the offer.
⚠️ Note: Only employees with matching roles will see your offered shift.
✋ Grabbing a Shift (Employees)
Employees can grab:
- Vacant shifts posted by managers.
- Offered shifts from other team members.
✅ How to Grab a Shift:
- Go to the Rota section in the S4 Connect App.
Tap the Shift 4 Grabs button to view available shifts.
- You’ll see shifts only if:
- The rota is published.
- The shift is at your home site.
- The shift matches your active role(s).
- The shift doesn’t overlap with your existing shifts.
📌 Tip: You can nominate yourself for multiple shifts, but overlapping shifts won’t be approved.
Once you nominate yourself, the shift will require manager approval before it’s officially assigned.
🖥️ Adding Vacant Shifts (Managers)
Managers can add vacant shifts directly via the website interface. These shifts can be:
- Shared for grabs.
- Manually assigned to employees with matching roles.
✅ Manager Approval Process
When an employee grabs or offers a shift:
- Managers receive a notification via the S4 Manage App.
They can approve or decline the request.
Once approved, the shift is reassigned and the employee is notified.
👤 Manual Assignment (Managers)
Instead of sharing a vacant shift for grabs, managers can manually assign it to an employee with the same role.
⚠️ Limitations & Rules
Manager Responsibilities:
- Use Add Vacant Shift to post open shifts.
- Publish the rota to make shifts visible.
- Review and approve shift grabs/offers via the S4 Manage App.
- Ensure the rota reflects all approved changes.
