This method for creating new employees relies on your team member having access to S4 Connect (employee app)
If your employee does not have a smartphone, or if you ever need to manually add a new employee, you should click on ‘employee wizard‘ instead.
To create an employee on the system using the "Self-Serve" method:
- Go to the people icon and select "Create new employees".
- Enter basic details for your new starter.
- Click "Send Invitation" to trigger a welcome email to your new starter. If the system encounters any mistakes it will advise you that it cannot send the invitation until those are fixed. Typical error occurs when the user enters a pound (£) icon or a comma delimitator (e.g. 3,000) when inputting the wage for the employee.
- Once the employee invitation is sent they will receive an email with the username and a code that they will need to use. The employee will need to download the S4 Connect App and click on "Sign Up"
- You should regularly review the team progress tab. This will ensure that you are aware of the progress each employee is making.
- You will not be able to close the rota (flag as complete) until team member setup is complete and you have "Review and Authorise" the employee.
After the employee signs up the will be required to log in with the set up password and the self-serve process will start and described as below:

- Step 4 is to upload the P45 or the starter checklist:
- Step 5 is to complete the RTW documentation, this will depend on your nationality and the options are based on home office guidance:
- Step 6 is to upload the documents you have selected in step 5 as proof of Right to Work (RTW):
- Step 7 is to upload a profile picture for the app:
- Step 8 is to preview your contracts and electronically sign the contract by pressing "Next":
- Last Step is to complete the bank details on the system. After pressing next at stage 9, this will complete the self-serve process.
- You will then need to await for your manager to "Review and Authorise" your profile when you are in for your first shift, after which you will be given full access to the app.
