Working Time Directive Report

This is a big time saver for H.R. personnel, but more importantly, every line is a fine. While many employees may have opted out of the WTD, it is compulsory to stay within the rules for young workers and for those who haven’t opted out. Otherwise, each breach could mean a hefty fine.

Beyond the legal obligations, WTD breaches are also an indicator of high levels of employee stress. That said, for some teams, long hours and hard work gives some satisfaction.

However, working beyond the recommended hours can lead to poor mental health and a drop in team morale — which are early warning indicators of an impending rise in staff turnover.

HR Insights provides the option to highlight employees that have opted out of the WTD, and report on working time directive breeches, you can access this report by following the steps below:

1. Click the graph icon on the top to access the reporting suite, scroll down to HR Insights and click 'WTD Exception Summary' in the Compliance section.

2. This screen will populate with today's date - this cannot be changed. Clicking load will download the excel report.

3. On opening the report you will see the below:

a) First Worksheet: Average Work Week [AvgWorkWk]

1. The sheet, and all others in the report, will load 52 weeks of data prior to today's date.

    

2. The report will highlight employees that have worked greater than an average of 48 hours and display their average weekly hours.

    

3. The report will show whether the employee in question has opted out of the WTD in S4labour - This option will only be available to employees over 18 years old.

b) Second Worksheet: Young Workers [YW]

This sheet highlights any employees under 18 who have worked:

• More than 8 Hours in a day
• More than 40 hours in a week

The report will display the number of times each of the above have occurred per employee over the previous 4 weeks, 12 weeks, 52 weeks.

c) Third Worksheet: Rest

The report will highlight employees that have not had: 

•  11 hours rest between shifts - no. of instances in the past 4 weeks, 12 weeks, 52 weeks
•  24 hours rest in a trading week - no. of instances in the past 4 weeks, 12 weeks, 52 weeks
•  48 hours rest in a trading fortnight - no. of instances in the past 12 weeks

d) Fourth Worksheet: Rest for Young Workers [Rest_YW]

This report highlights any employees under 18 who have not had:

•  12 hours rest between shifts - no. of instances in the past 4 weeks, 12 weeks, 52 weeks
•  48 hours off in a week - no. of instances in the past 4 weeks, 12 weeks, 52 weeks

4. You can mark that the WTD has been opted out of in the following areas:

*When manually adding a new employee, you can select this has been opted out via a tick box in the employment tab:

When viewing an existing employee's profile, you can adjust this setting by accessing the employment tab*:

*If the employee is under the age of 18 this option will not be available
