HR Insights allows you to add probation dates into employee profiles, and set organisational standard probation periods. It also provides a Probation Report to ensure you never miss an upcoming probation meeting.
These tools support H.R. to check in with managers to see how employees on probation are getting on.
It’s critical to check in with employees throughout the probation period to ensure that they, and you, are getting the most out of the employment. Not only that, it helps new employees feel supported and settle better into their roles. It also gives both parties a chance to walk away from the employment if it's not working out.
Employees automatically pass probation if nothing is done to mark the probation period ending, so this is always something to be mindful of with poor performing employees.
Note: Employees who didn’t receive the correct support during their probation or had the end
of their probation marked could lead to an unfair dismissal claim — should they be dismissed
in the first 2 years.
1. Adding and amending Probation End Date:
When adding an employee via the Employee Wizard, managers for businesses with access to HR Insights can edit the Probation End Date if needed, however it will prepopulate with a date 3 months from the employee's start date by default*:
*If you wish to amend this default please ask a Level 5 user in your business to contact your Account Manager.
Employee Probation End Dates can also be added or amended when viewing the employee's profile and selecting the Employment tab:
2. Reporting on Probation End Dates:
In order to review upcoming Probation End Dates, you will need to access our Probation Export report. Access the reporting suite by clicking the Bar Graph icon along the top row. Scroll down to the HR Insights section and select 'Probation Report':
This will then take you to the following screen which will allow you to pull the report:
This will populate with today's date, this cannot be changed. Click load and an excel document will begin to download.
When you open the excel document you will be able to see any employees with probation end dates scheduled within 4 weeks prior to the current week, and 4 weeks after - this is highlighted in the date range shown below:
The report also displays the start date of the employee's probation period.
If this report and probation functionality would benefit your business, please contact your Account Manager to discuss it further.
