Once a week is complete, you can close this rota by clicking ‘Lock Week’ in the top right-hand corner of the main rota page.
Once this has been pressed, the system will run checks to make sure that any salaried employees contracted terms have been fulfilled and that all employees have at least 2 rest days. The system will also flag if any holiday has been taken that week that has been taken in advance of accrual – this will have to be signed off by a Level 5 user.
I can't Lock the week. Why?
If you see a popup that advises that the employee has taken more holiday than they have accrued, the system will not let you flag a rota.
This can have payroll implications on the business whereby if employee leaves and has a negative balance this might come at a cost to the business.
As a result only level 5 users (typically found at head office) have the ability to close the rota (by pressing "Lock Week") by overriding this setting, in effect confirming that are happy to proceed.
You will need to liaise with a level 5 user within your organisation to close the rota on this occasion.
