📥 Uploading Accrued and Taken Holiday Prior to S4labour Go-Live
📝 Purpose
To ensure all staff have accurate and up-to-date holiday positions when your organisation goes live with S4labour, we’ve provided a template for submitting year-to-date (YTD) holiday data. An example of this can be downloaded at the bottom of this article.
Once completed, this template allows us to upload the data into the system, aligning each employee’s holiday balance with their actual entitlement and usage.
đź“‹ What You Need to Provide
Please complete the template with the following details for each employee:
1. Payroll ID
- Unique identifier for each employee.
2. Accrued Holiday YTD
- Hourly staff: Provide in hours.
- Salaried staff: Provide in days.
3. Taken Holiday YTD
- Hourly staff: Provide in hours.
- Salaried staff: Provide in days.
4. Run Rate (Hourly staff only)
- The average shift length in hours.
- Used to convert hours into days for accurate holiday valuation.
- The system will continue to monitor and adjust this value over time based on shift patterns.
📌 Run rate is essential for calculating the value of holiday days for hourly employees.
📤 Submitting the Template
Once completed, please return the template to your S4labour onboarding contact.
We’ll handle the upload and ensure all holiday data is correctly reflected in the system from your go-live date.
